Job Purpose
- Supports the Transport Department by coordinating and administering shipping documentation, monitoring freight movements, and ensuring the timely dispatch and delivery of cargo in support of freight forwarding operations.
Key Responsibilities
- Coordinate shipping documentation to support efficient freight forwarding and transport operations.
- Prepare, verify, and maintain transport documents, including Delivery Orders (DOs), Container Interchange Receipts (CIRs), Equipment Interchange Receipts (EIRs), waybills, transport manifests, gate passes, and Proofs of Delivery (PODs).
- Manage container interchange activities, ensuring the timely collection, delivery, and return of containers in compliance with shipping line, depot, port, customer, and company requirements.
- Monitor container and shipment movements, maintaining accurate records and coordinating timely container returns to minimize detention and demurrage costs.
- Verify container condition during collection and return, documenting and escalating any damages or discrepancies.
- Liaise with shipping lines, container depots, transporters, port authorities, customs, customers, and internal teams to facilitate seamless operations.
- Maintain accurate shipment, transport, and container movement records.
- Receive, verify, and reconcile Proofs of Delivery (PODs) and container interchange documents to support invoicing and reporting.
- Investigate and resolve shipment, documentation, and container interchange discrepancies in collaboration with relevant stakeholders.
- Prepare routine transport and shipment reports and ensure compliance with company policies, customer requirements, and applicable transport regulations.
- Perform any other duties assigned by the Transport Supervisor or Transport Manager
Qualifications
- Diploma or Bachelor's Degree in Logistics, Supply Chain Management, Transport Management, Business Administration, or a related field.
Key Skills & Competencies
- Freight forwarding and transport operations.
- Container interchange procedures and documentation.
- Shipping and transport documentation requirements.
- Road transport operations and fleet coordination.
- Microsoft Office Suite, particularly Excel, Word, and Outlook.
Experience
- Minimum of two (2) years' experience in transport, logistics, shipping, or freight forwarding operations.
- Experience managing shipping documentation and container interchange processes is highly desirable.
